We’re looking for a highly organised, proactive, and personable Office Support Assistant / Manager & Receptionist to join our team. This is a dynamic, dual-role position where no two days are the same—you’ll be at the centre of our operations, ensuring the office runs smoothly while delivering a first-class front-of-house experience.

You’ll work closely with colleagues across the business as well as external contractors, playing a key role in supporting both day-to-day operations and wider facilities initiatives.
This is a full-time, office-based role located in our central Manchester office, working Monday to Friday, 8:30am–5:00pm. Some flexibility is required to support on-site events. We also require travel to our Bolton at least once a month (expenses paid).
The role follows a ‘business smart’ dress code.
Our new Manchester Hub is in a great location with access to great public transport links and many restaurants/coffee shops on the doorstep!
What You’ll Be Doing
Office Management:
Oversee the smooth day-to-day running of the office
Manage office supplies, including stationery and catering
Liaise with external vendors (building management, cleaning, catering, security)
Coordinate maintenance and repairs for office equipment and facilities
Ensure health & safety standards are consistently met
Assist in the organisation of internal meetings, internal events, and team activities
Manage incoming and outgoing mail and deliveries
Front of House & Reception:
Deliver a professional and welcoming reception experience for all visitors
Act as the first and main point of contact for guests, creating a positive first impression ensuring that visitors are attended to promptly
Manage meeting room bookings and ensure rooms are fully prepared and presentable
Keep meeting spaces clean, organised, and well-stocked
Handle incoming calls with professionalism and efficiency
Coordinate meeting logistics, including catering when required
Administrative Support:
Support the executive and team support colleagues based in the Manchester office with tasks such as travel arrangements, meetings and events as required.
Support project coordination and track tasks and deadlines
Prepare, format, and edit reports, documents, and presentations
Assist with regular reporting and general administrative tasks
Facilities, Health and Safety & Operational Support:
Support contractor and supplier management with Group Operations Team
Assist with small projects and office improvements
Contribute to monthly reporting with the Group Operations Team
Maintain facilities and health & safety documentation including ensuring we have Personal evacuation plans in place, monitor risk and desk assessments, recording and reporting accidents via internal channels, ensuring suitable number of fire wardens and first aiders working with our Group Operations Team
Conducting weekly checks to ensure all signs, onboarding materials, visual displays relating to H&S are up to date for Manchester and two Bolton offices (next to each other).
Act as lead H&S Representative for the Manchester office and help support Bolton H&S matters
Collect and record sustainability data
Ensure compliance with company policies and procedures
Managing car parking for Bolton with the on ground team
Remote support for our Bolton office with a visit to the office at least once a month (note reception/H&S/Car park duties in Bolton are covered by another team)
What We’re Looking For
Previous experience in office support, reception, facilities, or a similar role
Exceptional organisational skills with the ability to multitask and prioritise
Strong communication skills—both written and verbal - we like solutions focused people who are up-beat and create a great first impression with Clients and Directors alike
Confident using Microsoft Office (Word, Excel, PowerPoint, Outlook)
High attention to detail and strong problem-solving ability
A calm, resilient approach under pressure
Confidence interacting with colleagues, clients, and suppliers at all levels
An interest in Health & Safety (e.g. risk assessments, first aid, fire safety)
Discretion and professionalism when handling confidential information
A proactive, flexible, and “can-do” attitude
GCSEs (or equivalent) in Maths and English
